March 30, 2003 - Executive Board Meeting

The officers of the North Florida Chapter of the American Meteorological Society held their March officer’s meeting on March 30, 2003 at The Loop Pizza Grill on West Tennessee Street in Tallahassee. Present were President Stephanie Abrams, Secretary Clark Evans, and Treasurer Joe Smith. Absent was Vice President Jeff Wood, who had prior arrangements. Topics discussed include officer elections, the April chapter meeting, and the transition between the current and future executive boards.

As per AMS guidelines, chapter officer elections will be held this spring at the next chapter meeting on Wednesday, April 16, 2003. All four executive board positions - President, Vice President, Secretary, and Treasurer - will be open and all current and future chapter members are encouraged to run for office should they so desire. The only qualifications are that the President be a member of the American Meteorological Society (not just the chapter, but the AMS itself) and that all prospective officers have ample free time to complete their duties over the next year. Secretary Clark Evans will accept nominations via e-mail until Monday, April 14, 2003.

Much debate centered around accomplishments of this executive board and what things should be left to the next executive board to complete and/or organize. A summary of those items can be found below:

Constitution: Incomplete as of now; will be finished by President Stephanie Abrams before elections.
Social functions: With little time left in the present year, future social functions and their organization will be left to the next executive board. One suggestion of a beach event was proposed by Treasurer Joe Smith and will be noted for the future executive board.
Subcommittees: The current executive board previously formed subcommittees, while their ultimate organization and elections of their leaders will be left to the next executive board. While the current board designated particular officers to head relevant subcommittees, this may be something the next executive board decides to modify or change.
T-shirts: Little progress has been made by the current executive board on finalizing a t-shirt design, due to lack of time and lack of interest. The ultimate decision on whether to push forward with a t-shirt design for the chapter will be left to the next executive board.
Finances: Treasurer Joe Smith will bring the chapter’s books up to date and in order before turning their position over to the next chapter treasurer. Currently, there is approximately $207 in the chapter fund.
Summer meetings: Deemed as unfeasible by the current executive board, though the future board may wish to review this subject at a later date.

Information transfer between the current executive board and the next group of officers will be accomplished primarily through a meeting between the two sets of officers immediately following the next chapter meeting. This will include a transfer of the ledger books, secretary’s reports, webpage and AMS updating/reporting information, and any other information deemed necessary.

The final topic of the meeting was the next chapter meeting, to hold these officer elections. There will be no speaker at the meeting, both due to time constraints and important business to accomplish, though it is hoped that the future executive board can arrange for speakers at a majority of the chapter meetings and events over the next year. After some debate and review of schedules, the next meeting was set for Wednesday, April 16, 2003, at 6:30pm. Meeting location is to be determined, with the two candidates being rooms 307 and 353 of the Love Building on FSU’s campus.

The meeting was adjourned at 12:30pm with all business for the meeting discussed.
